By making a reservation with us, you agree to these booking conditions, which are the whole deal between you and us (Eco-Friendly Treks & Expedition).

Booking A Trip

Advance Booking Payment

When you book a trip with us, you have to send us a scan of your passport and pay a fee of 20% of the total cost of the trip. The deposit is needed to confirm your participation in the desired trip.

Most of the time, we need advance payments from you to make plans for hotels, flights, transportation tickets, permits, TIM’s cards, etc.

The ticket deposit can be paid by bank transfer or by card authentication with a Visa, Mastercard, or American Express card. When a booking is made, the company sends an email providing you with more information about the direct money deposit details.

Final Payment

The remaining 80% of the trip cost can be paid before or upon your arrival in Nepal. If you choose to pay after you arrive in Nepal, the payment can be made during the official briefing day in the office (before your tour departure).

After you have paid for your whole trip, your final documents will be provided to you. We accept bank payments, cash, Visa, Master Card, and American Express credit cards.

Note: A credit card payment service provider will charge you extra if you pay with a credit card, so we recommend that you pay in cash.

Last-minute Booking

Payment Methods

After Eco-Friendly Treks & Expedition confirms your trip, you have to pay the required trip amount according to the business rules. You can pay via bank transfer or online credit card, according to your convenience. Helicopter tours demand full payment. After booking, the company will email you all the payment details.

Credit card (Mastercard or Visa)

We are happy to let our customers pay for their trips online with credit cards. We use WeTravel Smart Payments, a secure international payment system, because online transactions are important. When you make online transactions, the confidentiality of your financial and personal data will be preserved. When you make a payment with Eco-Friendly Treks & Expedition, you can do so with the peace of mind that the transaction will be safe and secure.

Note: A payment processing fee of 2.9% will be added to your total for any payments made using a credit card.

Wire/Bank Transfer

We are happy to share the bank details with you so that you can pay for your holiday. We accept bank transfers because they are a quick, easy, and safe means of payment. Our staff is here to help you through the transfer process and respond to any questions you may have. You are responsible for paying any bank service costs or fees incurred during a SWIFT or wire transfer.

Trip Cancellation Policy

Cancellation of the trip by a Client

If you want to cancel the trip for any reason, you have to tell us in writing 15 days before the trip starts. Cancellations have to be sent in writing or by email. When written confirmation is received, the cancellation goes into effect. The following rules apply to cancellations.

Please note that, no matter what the reason, there are no refunds for clients who voluntarily leave a trip after it has begun. The clients will not receive a refund for any remaining unused portions of their itinerary. Likewise, there are no refunds for any unused lodging, transportation, sightseeing, meals, or services.

Cancellation of trip by the Company (Eco-friendly Treks & Expeditions)

The company has the right to stop the trip for the safety of its clients if something happens that is out of our control. If we cancel your trip, you will get a full refund of your deposit and other payments. But if we have to stop the trip because of a civil war or other unpredictable events out of our control, your deposit will be used to cover the reasonable costs we have already paid for the trip.

Those events include acts of God, war, armed conflict, riot, blockade, or embargo, fire, explosion, breakdown, union dispute, earthquake, epidemic, pandemic, or other health emergencies, flood, windstorm, or other extreme weather events, lack or failure of supply routes, the passage of any law, order, proclamation, regulation, ordinance, demand, requisition, or requirement, or any other act of any government authority, beyond the reasonable control of the parties, whether or not foreseen.

Medical Conditions or Special Requirements

Your safety is the most important thing to us, so it is very important that you tell us at the time of planning about any condition, medical or otherwise, that might make it hard for you or other people to enjoy the trip.

Your current physical state at the time of booking, along with the facts about any medical conditions or other conditions that are mentally or physically challenging, should be mentioned thoroughly. In general, if these conditions aren’t made clear at the time of booking, the company has the right to charge the client 100% of the refund fee.

Clients may be unable to travel because of factors such as their age, mobility, pregnancy, or physical or mental disorders, in addition to other considerations related to the trip itself. We recommend making sure the trip is as comfortable as possible before booking it.

Since the quality of medical care varies from nation to nation, the company offers no guarantees or statements about the quality of medical care in any particular country.

Children

Every tourist under the age of 18 is required to have a parent or legal guardian accompany them at all times. More information concerning ages and qualifications has been provided through email correspondence.

Travel Insurance

Most of our trip is in the rural part of the Nepal Himalayas, so there is always a chance of bad weather, landslides, floods, and other things that we will not be able to control. Because of this, you must have travel insurance that covers the whole length of your holiday.

Your insurance should give you enough protection for accidents, illness, injuries, and misfortune. It should cover the medical costs, including the helicopter rescue or air ambulance. Your insurance should also cover trip cancellation, trip reduction, trip interruption, and loss of bags and personal items

You must also have proof of insurance with you on all the ties and show it to the company if they ask about it. If you do not show proof of insurance when asked, your trip could be canceled or stopped with no refund.

Flight Delay/Cancellation (Domestic)

Bad weather is a common cause of flight cancellations and delays in remote places. Therefore, it is important to bring along some additional cash in case of delays, since this can be used to buy food and lodging. The supplementary costs are not the responsibility of the company, so set your schedules accordingly.

If you need to reschedule your trip or take a more expensive mode of transportation, like a helicopter, because of aircraft delays, the bill will be on you. Furthermore, Eco-Friendly Treks & Expedition is not responsible for any costs that arise from a foreign flight.

Change in Price and Validity

Eco-Friendly Treks & Expedition reserves the right to make adjustments to any quote should suppliers change their rates before the start of the tour. Any element of the schedule may be added, removed, or changed at the discretion of Eco-Friendly Treks & Expedition Pvt. Ltd.

Under some circumstances, we might decide to adjust the price. In the event of unforeseen events, such as changes in the exchange rate, fuel costs, inflation, government action, and other operational expenses on which prices are based, we reserve the right to make reasonable adjustments.

Extra meals, laundry, beverages, showers at tea houses, medical expenses, optional activities and trips, and goods of a personal nature are not included in the price of your vacation, nor are international flight tickets, passports, or visa fees.

Visas and Passports

Your passport’s expiration date must be at least six months beyond your planned return date. You should check that you have all necessary travel documents before leaving, including visas and passports.

The company will not be responsible if you can’t get into a country or place because you do not have the right visa paperwork. You can get a Nepal visa on arrival in Nepal.

Personal Belongings

Our crew members work hard to give the best service and keep everyone safe. Even so, if your luggage or other things are lost or damaged while being carried by porters, ponies, or vehicles, the company will not be held responsible. So, we tell our clients to keep an eye on their things. We also advise purchasing comprehensive insurance to cover such hazards.

Updates

These are generally applicable terms and conditions; specifics may be customized. We also try our best to inform you, and we suggest you check the T&C.

The company reserves the right to change and update these terms and conditions whenever it wants. The client is in charge of staying up-to-date with any changes.
